OpsLight reports
Field service reports — the four emails that replace your dashboard.
By Altin Sall · Tend the Tech · Updated 2026-05-19
Every legacy FSM platform's centerpiece is a real-time dispatcher dashboard — a screen the owner is supposed to stare at all day. OpsLight inverts that. Every report pulls from the work-order data your technicians already log via SMS — no separate technician app, no dispatcher dashboard. Instead of one screen you live inside, you get four emails: the 7am Game Plan, the Friday digest, the 1st-of-the-month property-manager status, the quarterly capex review. Same KPIs (average ticket, cycle time, gross margin, supplement recovery, crew hours), email cadence instead of a screen.
Report 1 — Live now
What's in the daily 7am Game Plan email?
One page. Owner reads it over coffee. Active jobs ranked by start time, crew assignments, urgent intake from overnight, the week-ahead view, anything flagged for owner decision.
To: dave@larsen-restoration.com
Subject: Game Plan · Tuesday May 19 · 5 active jobs · 2 urgent overnight
Owner reads this in 3 minutes. Forwards the active-jobs section to the lead tech's group text. Replies to 2 flagged decisions inline. Done before 7:15.
Report 2 — Live now
Friday weekly digest — every call, every dispatch, every job.
Lands at 4pm Friday. The thing one OpsLight customer said was the first time in nine years he'd seen his own business at a glance.
Report 3 — Live now (the highest-leverage one)
Monthly property-manager status — 1st of every month.
For commercial-PM-heavy shops, this report alone justifies OpsLight. Templated on your letterhead. Auto-drafted from the Sheet. Owner reviews each one in 30-60 seconds. Sends.

The PM gets one of these per property they manage, on the 1st, every month, like clockwork. Vendor-of-record retention is what these reports do. Owners we work with report PM retention rates above 95% within 6 months of OpsLight launch.
Report 4 — Q3 2026 roadmap
Quarterly capex review.
Shipping Q3 2026. For shops with significant equipment investment (restoration, HVAC, landscaping). Aggregates the year-to-date data into a quarterly capex summary: equipment utilization, recurring-service compliance, year-ahead capital recommendations.
If quarterly capex reporting is critical for your shop NOW, the daily Game Plan + weekly digest already capture most of the data points; manually rolling them up to quarterly is a 30-min spreadsheet exercise. Drop the founding-cohort form on the founding cohort page with this as your operational pain — your vote moves Q3 2026 features up the priority list.
CSV exports
Raw data into your accounting system.
The Sheet is your system of record. But your accountant doesn't read Sheets — they read QuickBooks. OpsLight ships CSV export endpoints formatted for direct import into:
- QuickBooks Online — invoices, time-tracking, projects
- Zoho Books — same set, Zoho-schema-mapped
- Xero — invoices + customers
- FreshBooks — invoices + clients
Export anytime via a token-gated URL. Your bookkeeper gets a fresh CSV every Friday afternoon, runs the import wizard, done.
Common questions
What people ask about OpsLight reports.
What reports does OpsLight generate?
Four standard reports ship out of the box: daily Game Plan (7am), Friday weekly digest, monthly PM-status emails on the 1st, and quarterly capex review (Q3 2026). All auto-drafted from your Google Sheet. You review, you send (or auto-send for the PM-status emails on contract-customer accounts).
How does the daily Game Plan email work?
At 7am every day, OpsLight emails the owner a one-page summary: active jobs ranked by start time, crew assignments, urgent intake from overnight, week-ahead view, flagged decisions. Print it, forward it, or run the morning meeting straight off it.
Can OpsLight generate monthly status emails for property managers?
Yes — this is the highest-value report for commercial-PM-heavy shops. On the 1st of every month, OpsLight assembles each PM account's monthly summary: visits performed, parts replaced, filter changes, refrigerant readings, recommendations for next month, contract-compliance status. Templated on your letterhead. Owner reviews each in 30-60 seconds, sends.
Are the reports customizable per trade?
Yes — configured during install for your trade's terminology and your accounts' preferences. HVAC adds filter changes + refrigerant readings. Plumbing adds backflow + code-trigger observations. Restoration adds psychrometric readings + drying-day count. Painting adds color codes + warranty status. Same schema underneath, different surface.
Can I get raw data exports for accounting and QuickBooks?
Yes. Token-gated CSV exports for invoices, time-tracking, and projects, formatted for direct import into QuickBooks Online, Zoho Books, Xero, or FreshBooks. Plus the Google Sheet itself is CSV-exportable in one click. Your data stays in your Drive; we don't gatekeep extraction.
What's NOT included in the standard reports?
No real-time dashboard — we intentionally don't build one because the email cadence IS the dashboard. No multi-warehouse inventory reports (not OpsLight's shape — see /inventory/). No marketing-attribution reports. No deep KPI dashboards (roadmap Q3 2026). No payroll integration reports (export to your payroll system instead).
